Clapham North MOT takes data protection very seriously and is committed to collecting and using as little data as necessary to provide you with an excellent service.

What information do we collect?

We may collect, store securely and use the following kinds of personal data:

  • Information about your computer and about your visits to and use of this website (including your IP address, geographical location, browser type, referral source, length of visit and number of page views). This does not include names and specific addresses.

  • Information that you provide to us for the purpose of booking a Service or MOT. This also relates to any information you choose to send us via email using the email address and contact box. 

How will we use your data?

We will endeavour to keep your data secure and we will only use your submitted data in the following ways:

  • To complete our service of recording and confirming bookings for Services and MOTs.

  • To contact you of any changes to your bookings and issues relating to your vehicle/ motorcycle.

  • Occasionally, collected data may also be used for customer research purposes. This is however strictly for internal use only in order to review performance and improve customer service. It will not be given to any external parties.

  • In the event of a payment, to send statements and invoices to you, and collect payments from you.

  • To deal with enquiries and complaints made by or about you relating to the website.

  • To remind you that your MOT needs to be renewed.
     
  • Occasionally, we may ask you for feedback regarding our service so we can continually improve.

What types of data do we collect?

  • We may collect, store securely and use the following kinds of personal data:
    • Information supplied to us via our online booking forms including names, email addresses, telephone numbers, vehicle details.
       
    • Information supplied to us via email including names, email addresses, telephone numbers, vehicle details.
       
    • Information supplied to us via physical booking or service forms in person including names, email addresses, telephone numbers, vehicle details.
       
    • Information supplied to us in relation to payments including credit card details, bank account details.
       
    • Via Google Analytics, which is installed on our website, we will collect general information about your visits to and use of this website (including your IP address, general geographical location, browser type, referral source, length of visit and number of page views). This does not include names and specific addresses.

How long will we keep your data?

  • Personal data processed for any purpose shall not be kept for longer than is necessary for that purpose. This includes when we no longer need to manage you a service for you or when you have informed us that you would like us to remove your data.

If you would like to have your data changed

  • You may submit a formal request to us via email or call us. As per the Data Protection act, we will respond promptly and at most within 1 month.
     
  • Before completing this request, we are entitled to ask for any information we reasonably require to check the person’s identity. This is make sure there are no attempts at identity theft. To verify your identity we may: Phone you and verify details or request a scanned version of your driver’s licence or passport.
     
  • Upon completion of these steps, we will send you a copy of the personal information we have in our database and update details if necessary.

If you would like to have your data erased

  • If you would like your data to be completely destroyed, you have the right to erasure and we will (except in certain cases – see below) process this promptly and remove all records from our databases within 1 month. Currently you must inform us via email (contact@claphamnorthmot.co.uk). The right to erasure is however not an absolute right and the right to erasure does not apply if processing is necessary for one of the following reasons:
     
    • to comply with a legal obligation: this may involve the completion of a transaction which is legally binding between ourselves and you personally or your organisation. For example, when payments as part of a contract have not been completed. Where a legally binding transaction or obligation on our part is still outstanding, we reserve the right to keep necessary data until completion. In addition, we need to keep copies of invoices to comply with the regulations at HMRC.
       
    • for the establishment, exercise or defence of legal claims: In the case where we need to engage with or pass over information to law enforcement, we reserve the right to keep necessary data.

Website Cookies

  • Clapham North MOT does not use many external services, but as part of the services offered to you through this website, the information which you provide to us may be transferred to countries outside the European Union (“EU”) such as to non-EU based cloud services which we use to manage legitimate business operations. If we transfer your information outside of the EU in this way, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this policy.

Who do we share your data with?

  • We will never share information with any third party that intends to use it for direct marketing unless we have received specific consent from the individuals involved. In some cases, we will share your information with trusted third-parties to support legitimate business purposes and in order to fulfil our services to you. These include the following types of service:
     
    • Accounting software and accountants
       
    • Booking Systems
       
    • Government Bodies in relation to vehicle and MOT registration
       
  • In the case of fraud or other criminal activity, we may share your information with law enforcement bodies.
     
  • The website uses a booking system which is run by an external service. This service states that they are fully encrypted and no part can be accessed without SSL encryption. They also store their data in a MySQL database at Amazon Web Services in Frankfurt, Germany.

Security of your personal data

  • We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. Of course, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

Policy amendments

  • We may update this privacy policy from time-to-time by posting a new version on our website. You should check this page occasionally to ensure you are happy with any changes.

  • The website contains links to other websites. We are not responsible for the privacy policies or practices of third party websites.
